Numbering

{FY} financial year (2627 for FY 2026-27) · {YY} year · {MM} month · {####} the serial, padded · {IN} your initials. The serial steps on by itself each time you save. Load the register under 07 Saved offers and it catches up to the highest number your team has used.

Tax treatment

Annexure 1 — Scope of supply

Search the price list, or add your own item and type its price.

Type straight into Unit price to quote your own figure.

Columns marked ○ are shown here for entry but stay off the printed offer. Change any of that under 05 Columns.

Internal margin check — never printed private

What you buy at, as a discount off the same list price. Rows carrying their own cost figure use that instead.

My items — 0 saved

Items you price yourself. Press the star on any row to keep it here and it turns up in the search next time. Stored inside the quotation file, so save a template to keep it.

Annexure 2 — Scope of work & other charges

Services, freight, packing. Leave it empty and the annexure prints as “Not in scope”.

Type the Rate and the line works itself out. Columns marked ○ are shown here for entry but stay off the printed offer.

Terms

Write {{COMPANY}} anywhere and it fills in your company name when printed.

Covering letter — page 1

Placeholders you can use: {{ANNEXURES}} (the bulleted list), {{TOTAL}}, {{BASIS}} (inclusive of GST / GST extra), {{VALIDITY}}, {{CUSTOMER}}, {{ATTN}}, {{SUBJECT}}, {{COMPANY}}, {{DELIVERY}}. Leave a blank line between paragraphs.

Which annexures to print

Annexure 3 — commercial

Annexure 4 — general

Columns

Rename a heading, keep it off the printed offer, move it, or add one of your own. Hidden columns stay in the workspace so you can still enter figures — they simply don’t print.

Annexure 1 — scope of supply

Annexure 2 — scope of work

Every column can be renamed, reordered, kept off the print, or deleted outright — Reset to standard brings the lot back. Taxable, tax and Amount are worked out for you, so you can rename or remove them but not type into them. The tax heading follows the CGST+SGST or IGST setting by itself.

Your company

This is your letterhead. Set it once, then save the file as your template.

A scan or photo of the signature, ideally on white or with a transparent background. It prints above the signatory name on the letter and on the last terms page.

Price list

Needs the columns MLFB, Description, India HSN Code and Unit LP (INR) — the spreadsheet you have is already in that shape. CSV works offline; .xlsx needs an internet connection the first time.

Loading a price list lasts for this session only. To keep it, press the button below: it writes a fresh copy of this app with the current price list, your letterhead, your columns and your saved items built in. Use that copy from then on.

Saved offers

Point this at the folder your team saves quotations into. It reads the files, lists them, and opens any one for revision. Nothing is uploaded anywhere — the files are read on this machine.

Select every quotation file in the folder — Ctrl+A in the file dialog picks the lot.

Working as a team

What this can and cannot do.

Put this app file and a Quotations folder on a shared drive — OneDrive, Google Drive or your office server. Everyone opens the same app file and saves into the same folder. Filenames carry the quote number and the customer, so the folder reads like a register, and this page turns it into one.

What it cannot do: two people editing the same offer at the same time. The last person to save wins and the other's changes are gone. Split by customer or by owner and you will not hit it. Live shared editing needs a server and a database — worth doing once the funnel matters more than the paperwork, not before.

Print to A4. In the print dialog turn on background graphics.
